- Which items does Staples Promotional Products price match?
The item must be identical, including model number, components and U.S. warranty. The item must be in stock and available for purchase at that price from an authorized U.S. promotional products distributor, whose authorization we reserve the right to verify.
- Which items and services aren't available for price match?
We don't price match items sold on auction sites or at local or special events (e.g., grand opening, anniversary, clearance, closeout or liquidation sales). We don't price match taxes and typographical errors.
- Are delivery charges included in the price match?
No, we will only match product pricing.
- Are quantities limited on price–matched products?
We may limit the quantities of price–matched items, particularly if the other company does. In addition, we reserve the right to limit quantities sold to a customer.

Shipping and Delivery
- What are normal production and delivery times?
All delivery times are after art/logo approval. Normal delivery on all stock apparel items is 2-4 weeks after art approval. Delivery schedules are based on manufacturer's requirements, so please refer to individual product detail pages. All shipments are via UPS ground unless otherwise specified. However, you may choose another shipping option during the checkout process.

- What happens if a product is backordered?
We make every effort to ensure the products on our site are in-stock and ready for decoration. Occasionally, due to circumstances beyond our control, our stock of a certain product may be depleted. When this occurs, we will contact you with a revised ship date. If this revision does not meet your needs, we will do our best to offer you a comparable product as an alternative to the one you ordered.
- How can I get my order faster?
You may choose faster shipping during the checkout process. Or, call us toll free at 1-800-369-4669 or email us at sales@staplespromotionalproducts.com and we will do everything possible to meet your deadlines. Rush charge and expedited air freight will be applied to your final cost.
- Can I have my order shipped to multiple addresses?

Pricing and Payment
- What are the standard minimum order quantities?
Embroidered apparel: pricing is based on item quantity and number of stitches in your graphic per location. You must use the same embroidery and thread colors on a single style/color to qualify for quantity pricing.
Screenprinted apparel: pricing is based on item quantity and number of colors in your graphic per location. Minimum quantity for screenprint decoration is 12 per style/color. You must use the same design and print colors on a single style/color to qualify for quantity pricing.
Headwear: Headwear must be ordered in consecutive increments of 12.
Gift items: Minimum order quantities for gift items vary by product. Please refer to individual product detail pages.
- What charges/requirements are associated with my order?
For all apparel embroidery:
Digitizing charges: $10.00 per 1,000 stitches
Packaging: Pricing includes individual fold and poly-bag
Lettering: Must be 1/4" or greater in height to be legible
Colors: Up to 9 colors per location
For all screenprint:
Screen charge starts at $12.50 per color. No screen charge on orders of 500 pieces or more. No charge on reorders on orders larger than 72 pieces.
Packaging: Fold and poly-bag: Call customer service for fold and poly-bag. Additional $0.35 charge per garment will be applied to order.
Colors: Up to 7 colors per location
Setup charges vary by product. Please refer to individual product detail pages.
Special Requirements: Some garments may require additional handling charges due to decoration method or placement and garment construction. Special decoration treatments available, call for details.
- What payment options are available?
You can use any major credit card (Visa, MasterCard, Discover or American Express).
- Why is sales tax added to my order?
All domestic applicable state and local sales tax will be added to your invoice. If you are currently on file as a tax exempt customer you do not need to provide proof of your tax exempt status prior to placing your order. If you have questions about your tax exempt status or if you are a tax exempt organization and do not have a tax exempt customer number, please contact Staples customer service at (877) 826-7755.
Art and Decoration
- What is the art charge?

If you order your product on our website, we will waive the $25.00 art charge to prepare your submitted vector file as production-ready art.
- Will I be charged for simply uploading my artwork?
No. Once you have created an account, you may upload images to your logo locker at no cost.
- What type of file formats can I submit for use?
To make the decoration process as fast and efficient as possible, we prefer artwork to be submitted in a usable vector format. In fact, we won't charge you an artwork fee if you provide one of the following usable vector formats:
Adobe Illustrator (8.0-CS4) files in an AI or EPS format with all fonts converted to outlines. We can also accept vector PDFs.
Note: Changing the file name to an .eps extension does not change the file type.
Don't have a vector file? Don't worry. Using the latest software and technology, our highly experienced art team can convert other file types into a usable vector format. The following file types may be accepted:
- Adobe Photoshop files in .eps or .tif format at 300dpi resolution and at actual print size or larger than intended final imprint. Be sure to also send us any font files, saved as .ttf, or list the fonts if you do not have them.
- High resolution (at least 300 dpi) .jpg, .tiff or .png files
Please note the 5MB file size maximum for uploading graphics.
- Are there any file types you prefer that I don't submit?
We want to ensure that your logo or artwork is represented in the best possible way. Therefore, the following file types will require more attention and may slow the process of your order:
- Low resolution .jpg, .gif or Bitmap images. This includes images dragged off of a website, which are made to load quickly and have a lower image quality. For more information on bitmap images please read “What is the difference between vector and raster files?”
- QuarkXpress, Pagemaker, CorelDraw, Publisher or Freehand files or any artwork imported into a word processing program such as Microsoft Word, WordPerfect, PowerPoint, Publisher, etc.
- Photos. They cannot be clearly reproduced and are therefore not considered to be imprintable artwork.

- What is the difference between vector and raster files?
Raster images are better known as bitmap images. Bitmap images use a grid of individual pixels, each of which can be a different color or shade.


The following file types are always raster-based:
.jpg .gif .png .tif .bmp
Vector images use x and y coordinates to create shapes with points and lines, making it possible to zoom way in or scale way up without sacrificing image quality.


The following file types are often, but not always, vector-based:
.ai .cdr .eps .pdf .ps .wmf
Sometimes these file types are raster or a combination of vector and raster.
Note: Changing the file name to an .eps extension does not change the file type.
- What are the imprint (decoration) options?

Ink is pressed through a fine mesh screen and onto the surface of a product. |

This decoration method leaves a depression of the image on the material's surface. |

Digitizing is the process of programming an embroidery machine to stitch an image exactly. |

Spot color printing is done by combining selected spot colors to create other colors. This process requires color separations prepared by graphic artists who are experts in this type of method. |

- Are there any limitations on the types of graphics that can be reproduced with the embroidery process?

Yes. Small text, fine detail, and color gradients can be difficult to reproduce with embroidery. Additionally, the type of fabric the logo is applied to affects the level of detail that can be reproduced. In general, screen printing produces a more accurate replica of your logo or artwork.
- Can I use a specific font in my artwork?
Yes. Our art professionals have access to more than 10,000 fonts to provide you with the perfect font choice. If a specific font is used in your artwork, please e-mail the font file (in a true type font, for example, not just the name) to a Staples Promotional Products sales representative for assistance. If you are submitting an .EPS or .AI file, please make sure all fonts are outlined/converted to vector format in your artwork file.
- Can I use my own PMS color?
Yes, we provide PMS color-matching unless otherwise stated. If PMS color-matching is not possible on an item, the closest available color will be selected. One of our graphic design experts can help you select imprint colors for the best presentation of your artwork. For embroidery, we will select the embroidery thread color which most closely matches a specified PMS color. Some additional charges may be incurred for a PMS match. - How long will my artwork stay in my logo locker?
Your digital artwork will be kept on file for at least 1 year. As long as your account stays active, your artwork will be stored indefinitely. And remember, when you use an existing logo on a new product or reorder, you will not be charged additional art fees.
- Why does my uploaded artwork in my logo locker look grainy? Will the finished artwork on the product come out like that?
Images in your logo locker are shown at a low quality resolution for easier viewing and faster screen display. When we reproduce your art on your requested product, the vector image is used.
Orders and Returns
- Can I add, cancel or delete items on my order if I change my mind?

Since your order is processed as soon as it is placed, we are unable to allow for changes, corrections or cancellations. Please review your order carefully before placing it. A new order would not be delivered in the same shipment or at the same time as the original order.
- Can I get a sample of the product?
Yes, we can send you a sample of the actual item you are looking to purchase on our website. Most items are available with either random logos or blank.
For your convenience, samples will be billed at the lowest quoted price on StaplesPromotionalProducts.com and will ship ground to your location with applicable shipping charges and a handling charge of $2.50 per item for all products that are less than $5.00. Please note that samples may take 10 business days or more to arrive.

Product colors are reproduced as closely as possible throughout our website. However, actual colors of products or identification processes may vary. - What sizes should I order?

- Garments available in Tall sizes (LT-3XLT) are noted on the individual product detail pages. Tall sizes add 1-1/2" to sleeve length and 2" to the body length.

- What is your return policy?
Since all of our products are personalized, we are unable to accept returns. If you feel your order was produced incorrectly, please contact us at 1-800-369-4669 or email us at sales@staplespromotionalproducts.com within 30 days of the invoice date. If it is determined there is a material or manufacturing defect with your order, we will issue a returned goods authorization number and accept your return and repay your freight costs. We regret we cannot accept returns sent C.O.D. nor can we accept returns based on defects discovered after you have a third party apply additional decoration.
All claims for shortages, loss or non-delivery must be made within 10 days from the date of the invoice. Claims for damages in transit must be made with the individual carrier when you receive the shipment, so please save all shipping cartons for inspection.

By submitting Artwork to Staples Promotional Products for use on a product, customers shall defend and hold harmless Staples Promotional Products for the use of any Artwork and for breach of this warranty.
